Job Description



Toast is recruiting on behalf of a client in the creative and visual media space. The company operates as an artist-led co-operative model, working with a large network of over 1,800 co-owner contributors including photographers, videographers, and illustrators whose work is trusted by premium brands. It is a small, tightly-knit organization where staff also hold ownership stakes, and the legal function plays a central role in supporting the membership and client base. They are looking for a Legal Assistant to support a busy legal operation with a wide range of process-driven and detail-oriented tasks, ideal for someone early in their career who wants hands-on exposure to legal operations inside a mission-driven company.
 

Responsibilities

 
  • Manage content for distribution partnerships, including content removals and sendback reconciliation
  • Maintain organized agreements and legal filing systems
  • Organize historical client contracts and build processes for ongoing updates
  • Support governance activities, including member events, board administration, director appointments and elections, and resolution processes
  • Assist with contract signing and finalization, including tracking signatures and completion steps
  • Conduct general research to support legal determinations, such as brand or trademark information gathering and location research
  • Lead the sensitive use approval process, working with clients and the sales team
  • Support unauthorized use investigations and follow-up
  • Manage account closure requests, including GDPR and related data removals
  • Provide support for an industry legal alliance and its committee, including scheduling, meeting prep, and tracking requests
  • Provide scheduling, travel, and reimbursement support for executive leadership
  • Work closely with legal leadership to triage incoming requests across channels
  • Track deadlines, timelines, and contract renewals
 

Requirements

 
  • Up to 3 years of experience in an administrative or operations role, legal-adjacent experience welcomed but not required
  • Experience working with project management software such as Asana, Gitlab, or similar tools
  • Outstanding organizational skills and the ability to manage multiple priorities simultaneously
  • Excellent discretion and care when handling sensitive information, experience with confidential materials is an asset
  • Comfort working independently in a remote environment
